1. Who we are

Clarity Edge Innovations (Pty) Ltd, trading as ClarityEdge, is a Gauteng-based business offering custom embroidery, event desserts, and corporate WhatsApp digitalization services. We are committed to protecting your personal information in accordance with the Protection of Personal Information Act (POPIA), Act 4 of 2013 (South Africa).

2. Information we collect

  • Contact form: name, email address, and message content when you submit an enquiry.
  • WhatsApp messaging: when you contact us via WhatsApp, your phone number and message content are processed through Meta's WhatsApp Business platform.
  • Website usage: basic server logs (IP address, browser type, pages visited) for security and performance purposes.

For first-aid incident records, we collect limited information needed to document and coordinate care. This may include a contact number, age group, gender, incident location and description, reported symptoms, level of consciousness, optional allergy or medical-condition details, and first aid provided and the person’s response. The incident form does not ask for the patient’s name or home address. Incident records may contain health information, which we handle as special personal information under applicable privacy law.

Apart from first-aid incident records, we do not collect financial data or special personal information as defined under POPIA.

3. How we use your information

  • To respond to your enquiries and provide our services.
  • To communicate with you about your order or project.
  • To send service-related updates (not marketing) unless you opt in.
  • To improve the performance and security of our website.

We will never sell, rent, or trade your personal information to third parties.

4. WhatsApp & Meta

Our business uses the WhatsApp Business Platform, operated by Meta Platforms, Inc. When you message us on WhatsApp, your data is subject to WhatsApp's Privacy Policy. We only use WhatsApp to communicate with you about our services — we do not send unsolicited marketing messages.

Meta and any third-party provider we use to operate the WhatsApp Business Platform may process or retain copies of information under their own terms and retention practices. Deleting information from our systems does not automatically delete copies held by Meta, a provider, or other chat participants. Meta's WhatsApp Business Platform Terms state that following termination, Meta may retain account-associated data for up to 90 days, and backup copies may remain for a limited time.

5. Data retention

We retain your personal information only for as long as necessary to fulfil the purpose for which it was collected, or as required by law. Contact form submissions are retained for a maximum of 24 months.

In systems controlled by us, we retain incident, booking and volunteer account records only for the convention and for up to one day after it ends. After that, we delete them, unless we must retain specific information to meet a legal obligation or resolve a safety-related matter. This timeframe does not apply to copies held by Meta or other service providers, which are subject to their own retention practices described above.

6. Your rights (POPIA)

Under POPIA, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information.
  • Object to the processing of your information.
  • Lodge a complaint with the Information Regulator of South Africa.

7. Cookies

Our website uses a minimal cookie to remember your light/dark theme preference. No tracking cookies, advertising cookies, or third-party analytics cookies are used.

8. Security

Our website is served over HTTPS. Data submitted via the contact form is transmitted securely and stored on servers hosted in Microsoft Azure (South Africa North region).

9. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of our website after changes constitutes acceptance of the updated policy.
